Speak Up
Fetim Group operates in accordance with its internal Code of Conduct and relevant laws and regulations in the Netherlands, Europe, and the rest of the world. We collectively strive to act with integrity and treat others with respect.
If you notice something that concerns you, such as unethical behavior in the supply chain or within Fetim Group itself, both internally and externally, domestically and internationally, we encourage you to speak up and help us address the situation proactively.
We understand that speaking up takes courage. Therefore, we are committed to providing you with a simple and secure way to express your concerns.
This Speak Up policy applies to all employees, stakeholders, partners, customers, and suppliers of Fetim Group.
When do I Speak Up?
As soon as you suspect or see unethical behavior or actions, you can use the Speak Up policy. We do not expect you to have all the answers already. This Speak Up policy provides a framework for determining if something is not right.
What do I speak up about?
You have the option to speak up about suspected or seen violations of laws and regulations or if you have doubts about anything that constitutes unethical or illegal behavior.
How do I speak up?
You can speak up through our Speak Up platform. This system is managed by an independent service provider and is available 24/7.
Making a report within our Speak Up channel
Making a report involves several steps. For transparency, a concise overview of the steps in the Speak Up system is provided below.
- When creating a new report, click on New Report.
- Click login if you have previously made a report. - Select the language in which you will make the report.
- You will now receive a Report Number. Save this number on your laptop or write it down physically. With this number, you can log in again and view the dossier to check for any follow-up steps.
- Create a password or passphrase. This password is personal, and we recommend not sharing it.
- Choose whether or not you work for Fetim Group.
- Choose the country where the reported incident occurred.
- Now you can make a report.
- Tip: try to use the Who, What, When, and Where questions to describe your report clearly and comprehensively. - When you have completed the report, you will see a confirmation screen.
- Note: you will not receive an additional email confirmation. - If you want to view the dossier of your report, you can log in with the saved report number and created password.
I have spoken up. What now?
If you submit a report, the handler will send you an acknowledgment within seven days. Your report will be evaluated, and the appropriate action will be determined. You may be asked follow-up questions to fully understand the report.
You will receive feedback within (at the latest) three months after the acknowledgment. The system keeps track of the status of the complaint so you can stay informed about the progress. Please note that detailed information about the outcome of the investigation may not always be provided for reasons of confidentiality, privacy, and the legal rights of the parties involved.
All involved parties, including the accused, have the right to confidentiality. Therefore, if you participate in an investigation or hear about it, you must keep the matter confidential.
Please note that not all reported issues automatically lead to a formal investigation. Sometimes, it is better for all parties involved to follow a different approach, such as mediation. Additionally, there may be insufficient information for a thorough investigation, and there may be no way to obtain more information.
Protection when speaking up
Protecting your right to speak up is essential. Protecting you as a reporter is one of the main goals of this policy. Your shared information remains anonymous and is not disclosed publicly. The Speak Up system enables a secure dialogue.
An anonymous letter outside the Speak Up system provides no opportunity for further correspondence and will not be addressed.
Confidentiality
All questions or issues are treated confidentially. Information is only shared with a limited number of people on a strict need-to-know basis. Depending on the purpose of sharing, the handler of your report will (further) anonymize the information before sharing it. Information is only shared outside this group if we are legally obligated to do so or if there is a significant public interest at stake.
In principle, we are obligated to notify any person under investigation as soon as possible that he or she is the subject of an investigation. This notification may be delayed if there is a significant risk that it will jeopardize the investigation or the collection of evidence.
Despite all measures taken to protect your confidentiality, it cannot be fully guaranteed that you will never be identified by other parties during an investigation.
Thorough investigation process
Fetim Group is responsible for a thorough, confidential, and accurate fact-finding process. There are procedures in place to ensure this.
If you notice or experience retaliation, you can also report it through the Speak Up channel.
